Case study: automation of work with counterparties based on the softXspace platform

In less than a year, a large business received from the soft Xpansion team a successful implementation of the complete solution for automating work with counterparties (suppliers, customers, partners) on the softXspace platform


Specialists of the Customer's company contacted us with a request for the automation of commercial interaction with the company's customers and partners (counterparties) and for the automation of internal document workflow: preliminary review and accreditation of the counterparty, registration and authorization, receipt of a document from the counterparty, contract creation, making business and outgoing documents, etc. 

In a short time and in extremely difficult conditions, we managed to take into account all the individual requirements of the company and create a modern solution, based on two of our products on the softXspace platform: the softXspace Business document management automation system, as well as the softXspace Client Portal, an external portal for counterparties, with personal accounts for each client or partner of the company. 


In general, within the project, a complex of internal and contractual document workflow processes is automated, thus the company's employees and its counterparties have the ability to work completely in the unified digital space provided with legally significant document workflow. So, the softXspace Business system allows the company employees quickly and efficiently work on documents, approve and sign them with a digital signature (QES), control tasks, etc. On the other hand, the counterparty portal softXspace Client Portal has become a single window for interaction with the company clients and partners (suppliers, farmers, buyers). And from now on each counterparty has a personal account, where they may conveniently and with no additional costs take part in accreditation processes, send constituent documents, view current purchase prices, and most importantly – quickly exchange legally significant documents with the company.

The client's solution is deployed in the Microsoft Azure infrastructure and provides guaranteed application 99.99% accessibility, has passed external independent testing in a well-known European center, and is recognized as fully suitable for the safe exchange and storage of confidential data. 


As the customer's company noted, just such products meet modern requirements and provide the ability to work 24/7 through a web browser anywhere and anytime, which is very relevant for employees who work out of the office. 


Thanks to the implementation, business efficiency indicators were increased, and paper exchange, as well as document forwarding costs, were minimized. A number of processes important for business have been accelerated, in particular, the contract conclusion and the time for making management decisions have been reduced, which is very important and relevant in current dynamic market conditions. In addition, the customer's company intends to further expand the functionality of both the counterparty portal and the automation of a number of other internal business processes using the softXspace platform.
